Everett Rogers, a pioneer in the field of the diffusion of innovations, identified five qualities that determine individual attitudes towards adopting new technology (2003). He theorized that individuals are concerned with:
Relative advantage: The individual adopting the new innovation must see how it will be an improvement over the old way of doing things.
Compatibility with existing values and practices: The adopter must understand how the new innovation aligns with current practices.
Simplicity: The adopter must believe he or she can easily master the new technology; the more difficult learning the new system appears, the greater the resistance that will occur.
Trialability: The adopter should have the opportunity to “play around’ with the new technology and explore its capabilities.
Observable results: The adopter must have evidence that the proposed innovation has been successful in other situations.

You have been part of a team preparing for the implementation of a new electronic health records system. Decisions as to the program that will be used have been finalized, and you are now tasked with preparing the nurses for the new system. New technology is a force to be reckoned with; every field is adopting it to ensure easier working conditions and an increase in production. The medical field has embraced the new technology by implementing the use of Electronic Health Records (EHRs) in their hospital systems; this will enable the staffs to have faster access to patient’s records compared to the old manual way. The inclusion of technology in the hospital records is a good place to start since the world’s technological paradigm is shifting to a ‘must have, people and institutions are becoming techno savvy hence the dire need for the hospital to embrace EHRs. For the new technology to work, the staff of the particular organization must welcome it so as to ensure it is working and full potential realization is through its application. Edwards (2012) stipulates that, technology cannot function on its own it requires embrace from both the human and non-human factors that are systems, processes, management and control mechanisms, this collaboration will ensure that the adopted technology benefits the users. This paper will give ways of implementing new technology in a systematic way that can be embraced by the institution.
Electronic Health Records (EHRs)
The advancement of technology in the medical institutions elevates the need to include EHRs in their daily activities so as to ensure proper retrieval of a patient’s information without confusion or loss of data. The continued change in the health care sector regarding reforms, policies, and health information technology, more medical institution are going paperless by embracing Electronic Health Record system (Williams & Samarth, 2011). Electronic Health Record is a digital version of keeping a patients’ medical history maintenance by the administration of a medical institution, the electronic files contains patients; demographics, notes, progress, medication and past medical history. The EHRs system has been embraced by hospitals as they can keep a patient’s data for a long time hence enabling proper provision of health care to a patient.
How to approach the meeting with the nurses
The meeting will start early in the morning when my colleague’s energy levels are high so that they can embrace the idea wholly and have the motivation to apply it immediately after the talk. Advantages of using EHRs
It is advantageous for a medical institution to use EHR since it enables safe keeping data regarding the patients in case of theft or fire. Currently, there is the use of cloud technology which assists in data storage for retrieval at any moment; this provides security for patient’s information in a way that it cannot leak to outside sources. The system provides accuracy in the recording of data since any update required for a patient’s file can be done without difficulty hence enabling quicker access to patients medical information. Most of the time doctors refer patients to different hospitals, it becomes difficult to give out the original file, but with the digital file, it can be shared electronically and at a faster pace. Also, the electronic file is securely shared thereby enabling proper diagnosis of the patient, reduction in medical errors and provision of safer care. All information regarding a patient’s health is private this privacy is offered by the EHR since there is the need for clearance through pass ward to enable one access the information hence allowing the authorized personnel only to view a patient’s medical record. There is increased productivity within a medical institution as it takes less time to get or enter a patient’s information and also the time to retrieve the file becomes short. EHRs is advantageous since it includes small benefits like; no need for interpreting bad handwriting used in the records and reduced time to access the electronic files (DeNisco & Backer, 2016)
A legible system must have the ability of compatibility with both the human factor and non-human factors within an institution so as to facilitate the adoption process. The use of EHRs is a new process that is supposed to be compatible with the management, the staff and the institution to enable better transitioning from the old system of analog recording of files to the digitalized system. The EHRs system is the most compatible because it is user-friendly thereby making the management and the staff to use the technology efficiently without any complication. The ease that comes with learning how the system operates makes it possible to include junior staff in the recording and retrieving of an individual’s medical data.
The EHRs system is the simplest to establish since it requires less space compared to the old system and any medical staff that has access to the institution’s computers can run it. Training of the medical staff on how to apply EHRs system requires a shorter time as most of the files need filling only as opposed to the past files which required more work of writing names, topics, drawing of tables underlining and finally filling the written form. Saving of the records is simplified as its completion is at any position within the institution that a computer can be accessed, in advanced hospitals portable devices like the tablet can be used hence simplifying the process of filling and retrieving a patient’s information.
Trying the system is a great factor held in consideration before adopting a new system as this enables the staff to realize the potentiality of the technology they are about to embrace. By carrying out trials on EHRs, the medical institution can explore the advantages of the system and how far the system can reach when the hospital adopts it. By trying new thing with the system, the management will be able to learn more things that it can do with EHRs hence expanding its use to their advantage. Learning the capabilities of EHRs through trials enables the institution to know more functions of the system and how it can increase productivity within the hospital; therefore it is important to consider trialability when adopting the system.
The use of EHRs brings a lot of changes within the medical institution as record keeping is simplified and made easier thereby increasing hospitals productivity as the staff can retrieve and record patient information within a short time. There is less commotion in the hospital as less staff flock the store to retrieve the medical records for patients; the institution has been able to create more space as the store with written files has been cleared leaving space for more offices. It is easier to refer a patient to a more qualified doctor as one can send medical records electronically via email no matter the distance hence ensuring proper care a diagnosis of a patient.
Role of nurse as change agents
Nurses form the majority group of the staff making them a force of change whenever an implementation or adoption is required, training them to participate in a particular event will make it easier to effect change in an institution. To enable the organization to adopt the EHRs system the nurse requires training on how to operate the system, their knowledge on how to handle the system will automatically reach other staff members. According to Lundy & Janes (2009), nurses are always considered as change agents since they act as role models in the health center. Focusing on nurses as pioneers of adopting the EHRs within the medical institution is a success. Their ability to influence a course due to their numbers will make the other medical staff take and embrace the new technology.
Due to the dynamic nature of technology, the medical field must adopt the new form of technology; this is through adopting of Electronic Health Records which has far more benefits to the institution. The EHRs has shortened the time required to record and retrieve a patient’s medical data; it has increased the security and privacy of a patient’s record and increased productivity in the hospitals. The simplicity, trialability, and compatibility of the system make it easy for adoption since it reduces complication regarding the medical data of patients. The nurses are in the frontline of ensuring the new system is adopted and embraced in hospitals.
